About Kent College

Established in 1886, Kent College Pembury, is a leading independent day and boarding school for children from 3 years to 18..

Set in a 75-acre rural parkland estate in Pembury just outside Tunbridge Wells, it has 800 users, comprising of 600 students and a teaching and administrative staff of 200.

Challenges

The school had a fleet of 70 desktop printers distributed throughout 24 school buildings across a seven acre site.

Reliance on the slow manufacturer warranty support, required an expensive stock of backup printers while printers awaited repairs.

And the frequency of ordering different spares and supplies required a large administrative and accounts overhead.

Printing is critical to my job; in fact, I’m printing the girls’ results from their tests right now. Being able to print anywhere is absolutely brilliant; it just works.

How we helped

The results of an audit were processed, identifying the inefficient machines within the current fleet and allowing the client to view their usage and costs.

We developed a comprehensive service plan based on both the audit and the customer requirements. The aim was to replace all inefficient desktop devices and implement an appropriate software solution, allowing Kent College to reduce costs, increase efficiency and understand their current print environment.

22 Canon imageRUNNER multifunctional printers were conveniently located across the estate, supported by Agilico’s unique Preventative Maintenance; chosen above other suppliers because every machine receives a scheduled monthly service call, guaranteeing reliability and uptime.

A fully managed service effectively reduces colour and waste printing, tracks who and what is being printer, and enables staff and students to securely collect their prints from any device. The software solution implemented included PaperCut, an integrated print and scan management solution that allowed for greater cost management, transparency and security.

The Outcome

Rationalising from 85 devices to just 22 devices without impacting security or productivity was made possible by using the full version of PaperCut print management software – PaperCut MF.

The ‘Follow Me’ printing features of PaperCut MF enables the users to print to a single print queue, and by using their unique ID, or proximity card, securely collect their prints from any network print device within the school.
