About Naval Families Federation

For over 21 years, the Naval Families Federation (NFF) has supported Royal Navy and Royal Marines families, giving them a voice and working to improve the services and support available to them.

The team is primarily based at their head office in Portsmouth, with additional staff working across Scotland, East Anglia and the South West.

Agilico has supported the organisation with managed print services for the past 8 years, providing a strong foundation for an ongoing partnership built on trust and reliability.

The Challenge

As our relationship with NFF developed, we worked together to explore how additional Agilico solutions could further support their evolving technology needs.

This opened up a wider conversation about how their IT services were being delivered and whether a more consistent and cost-effective approach could be achieved.

Alongside this, their technology environment had become more fragmented, with different suppliers supporting IT and communications. This created unnecessary complexity and limited visibility across their core systems.

They were also looking for a more joined-up approach to telecommunications, giving staff greater flexibility in how and where they work, and how they manage calls across phones, desktop and mobile devices.

As a charity, it was also important that any new solutions delivered long-term value and made better use of existing technology investments, without adding unnecessary cost or complexity.

The Solution

We began by moving NFF to Agilico managed IT services, supporting 17 users with a more consistent and responsive IT support model.

Our engineers worked alongside the existing provider to ensure a smooth transition with minimal disruption, supported throughout by a dedicated project manager who kept the team updated at every stage.

This change not only improved day-to-day IT support, but also helped bring greater consistency across their wider technology environment.

Building on this, we then implemented Agilico Connect, our cloud VoIP telephony platform, including a Microsoft Teams integration and 8 mobile devices.

This created a more flexible and unified approach to communications, allowing staff to manage calls in the way that suits them best, whether via Microsoft Teams, the Connect app, desktop handsets, or mobile phones. This gives the team the flexibility to stay connected and respond to calls whether they’re in the office or working remotely.

To further simplify device management, the mobile phones were configured using Microsoft Intune, making use of existing Microsoft 365 capabilities and removing the need for additional device management tools or subscriptions.

The Results

With managed IT services and Connect in place, NFF now benefits from a more joined-up approach across its core technology services.

IT costs have been reduced, while service quality and responsiveness have improved. This has also strengthened their overall security, giving them greater confidence in their cybersecurity while working towards Cyber Essentials certification in the coming months.

Staff also benefit from greater flexibility in how they work and communicate, supported by a unified communications platform.

Most importantly, bringing print, IT and telecommunications together under a single supplier has simplified NFF’s technology estate, reducing complexity and providing a more consistent support experience across all three services.

The migration was handled professionally, with excellent communication throughout, and we're already seeing the benefits in both cost savings and improved security.
