Job Summary
The Payroll Officer is responsible for the accurate and timely processing of payroll for employees within the company. This role involves handling payroll calculations, maintaining payroll records, and ensuring compliance with UK tax and employment laws. The Payroll Officer will collaborate closely with HR and Finance departments to ensure that all employees are paid correctly and on time.
Key Responsibilities
- Accurately process monthly payrolls for all employees.
- Collect and collate payroll data.
- Ensure all payroll transactions are processed efficiently and accurately.
- Calculate wages, including overtime, bonuses, annual leave, pensions and other variable pay components.
- Process statutory payments, including SSP, SMP, SPP, and SAP.
Compliance and Reporting
- Ensure compliance with UK payroll legislation, including HMRC regulations.
- Submit RTI (Real Time Information) to HMRC in a timely manner.
- Prepare and submit pension contributions to the relevant pension schemes.
- Assist with year-end payroll activities, including P60s and P11Ds.
Record Maintenance
- Maintain accurate payroll records, including employee data, tax information, and bank details.
- Update and maintain payroll-related databases and systems.
- Handle payroll queries and resolve discrepancies as they arise.
Collaboration and Support
- Work closely with HR to ensure payroll changes, such as new hires, terminations, and changes in contract terms, are processed accurately.
- Collaborate with the Finance team to reconcile payroll accounts.
- Provide payroll reports and analysis as required by management.
- Work closely with the third-party bureau (which runs the PAYE/NIC/pension calculations, prints payslips, etc) for gross payroll.
Customer Service
- Provide excellent customer service to employees regarding payroll matters.
- Respond to payroll-related inquiries and provide support as needed.
Qualifications and Skills
- A relevant qualification in payroll, accounting, or finance (e.g., CIPP, AAT).
- Strong numerical and analytical skills.
- Excellent attention to detail and accuracy.
- Good understanding of UK payroll legislation and HMRC regulations.
- Proficient in Microsoft Office, particularly Excel.
- Strong organizational and time-management skills.
- Good communication and interpersonal skills.
Experience
- Previous experience as a Payroll Officer or in a similar role.
- Experience with payroll software (e.g., Sage Payroll, Xero, or similar).
